The Challenge

When we combined Global and North American Marketing Services Teams, we were both using different methods to track and manage projects. Globally, we were manually inputting projects into spreadsheets/excel. For North America, they used a different project management tool that was too complex to be effective. We needed one tool that would help both teams seamlessly collaborate on projects.

Between Global and North America, we manage 50-60 projects at a given time. Using spreadsheets was time-consuming and disorganized. Spreadsheets made it almost impossible for our department to track progress once the project was inputted. Moreover, they did not allow for collaboration with other teams within the organization. The project management tool North American marketing was using at the time was too robust, complicated to use and did not have the features we needed to go above and beyond our usual work flows.

The Solution

A team of creative, digital and marketing representatives evaluated five different vendors over the course of two months by scheduling training sessions to learn about their application and determine if it was compatible with our requirements. Taking the team’s feedback and analysis, we concluded that Easy Projects was the right tool for our needs.

The Outcome

So far, using Easy Projects has been highly efficient due to our running and formatting report time being cut in half. We now have a single tool that our creative, digital and marketing teams can use to collaborate. Our events teams have even started using the tool to manage on-site and off-site events. Another benefit is that we can include all stakeholders on tasks, allowing us to keep everyone updated on projects, resulting in faster turnaround times for feedback and revisions. With all of these teams collaborating within the tool, we have cut software costs across the organization and saved on license fees by using the free guest user accounts.
